A: Could I meet with you to discuss the project? 
B: Good idea. We could meet on Monday or Tuesday. Which day would you 
prefer? 
A: Tuesday would be good for me. 
B: OK. Do you think we should meet in the morning or in the afternoon? 
A: I think the afternoon would be best. 
B: That will work out. I will e-mail the exact time tomorrow. I need you to bring 
your plans with you. 
A: Yes, I will bring my plans with me to the meeting. 
B: Should we invite the whole committee or should we just have the sub-
committee there? 
A: I feel that the whole committee needs to be there. 
B: Yes, I agree. We'll make sure that they get notified. Can you find the meeting 
place? 
A: Yes, I know how to get there on my own. 
B: Great! We will send you all the details later. Looking forward to meeting with 
you! 
 
RESCHEDULING AN APPOINTMENT 
If you must reschedule or cancel an appointment, be sure to do so as soon as 
you know of the change in your schedule. 
 You know we were going to meet next Friday? Well, I'm very sorry, but 
something urgent has come up. 
 I'm afraid that I'm not going to be able to meet you after all. Can we fix another 
time? 
 Something has just cropped up and I won't be able to meet you this afternoon. 
Can we make another time? 
 Can we postpone our appointment? 
 Let's see if we can find another day when we could get together. 
 Could we postpone till Thursday? 
 Could we move it up? (i.e. move it to an earlier time) / Could we move it up 
slightly? 
 Could we move it up one hour? / Could we move it up to 12 o'clock? 
 
DIALOGUE SITUATION: RESCHEDULING AN APPOINTMENT 
NATASHA: This is Natasha Cooper. I have an appointment for Thursday at 2 
o’clock, but things have changed. Unfortunately, there is a conflict in my 
schedule. Can I reschedule for Monday afternoon or any time Tuesday? Do 
you have an opening on Monday? I’m sorry for the short notice. 
SECRETARY: We have nothing in the afternoon on Monday. On Tuesday 
between eleven and two we are busy. You might have to wait.” 
NATASHA: If someone cancels for Monday afternoon, could you give me a call? 
If not, I’ll simply come in on Tuesday. 
SECRETARY: Check back with us later today. 
LATER THAT DAY 
NATASHA: I’m calling to check whether you had any cancellations for Monday 
afternoon or any time on Tuesday. 
SECRETARY: There is an opening for next Tuesday at 5 p.m. Would it suit you? 
NATASHA: Oh, that’s great! Could you write me in?
