1. Why is it necessary to determine the audience and purpose of a document before sending? 
We consider it necessary to determine the recipient (public) and the subject, that is, the reason why the document will be sent. This is necessary because each document is different. For example, when you write a report to your manager, you need to provide more information than the situation where you need to speak to your team.
After considering the target audience and the subject of the document, you need to collect more information about the type of document you should bring. The purpose of a document will determine what information will be sent.
2. Why is it necessary to determine the format and structure of a document?
Each company has legislative and regulatory regulations that will influence the way in which you must present the information to be delivered. Therefore, it is necessary to determine the format and structure of a document to ensure that the formatting of a document is consistent, a model of the documents produced must be easily accessible in your software. Appropriate formats for documents may include emails or detailed business letter. 
3. What organisational requirements may impact upon documents you are preparing? 
The organizational requirements that may affect the documents that I am preparing may be company templates or internal style conventions, which include margin, color of use, fonts and part of the design of the document Identity signed for correspondence / communication.
4. Name two methods of communication. 
Fax and E-mail are two methods of communication.
5. Name two means of communication. 
Phone and Letter are two means of communication.
6. Who else in the organisation might you ask to check the documents before sending? 
I could ask my co-worker to check the document before sending. Always considering organizational procedures. I can ask as well to my supervisor and manager.
7. How will you ensure it is being sent to the correct recipient? 
I can guarantee that it is being sent to the correct recipient by checking the recipient's name and address to ensure that it is being sent to the correct recipient. Requirements such as email address, title, content, spelling.
8. Name two systems to file or store company documents. 
OneDrive and Dropbox are two systems to file or store company documents.
9. Name two resources that would assist in document production. 
Formatting and the use of company logo would assist in document production.
